Key Behaviours of a PMO Administrator

The role of the PMO Administrator is pivotal in the successful execution of projects within an organisation. The responsibilities of a PMO Administrator are outlined in the PMO Competency Framework and the Essentials for PMO Administrator course.

Some of these responsibilities include;

  • Providing a comprehensive administrative service including assisting in setting up workshops, and meetings, taking minutes, chasing actions, arranging travel, arranging quotations and purchases, and managing ad-hoc queries
  • Ensuring all information and documentation is processed, maintained, monitored, and filed.
  • Maintain systems for recording costs, timesheets, purchases, and expenses.
  • Co-ordinate the collation of reports and produce summary reports and packs.
  • Maintain risks, actions, issues, change, and dependency registers.

To be able to perform these tasks successfully there are also a set of key behaviours identified in the PMO Competency Framework that a PMO Administrator would need. Key Behaviours

The Essentials for PMO Administrators course and the PMO Competency Framework outline six key behaviours for the role of the PMO Administrator;

  • Act with discretion and integrity, maintaining an appropriate level of confidentiality.
  • Pay attention to detail but be pragmatic – keep the bigger picture in mind.
  • Be open and honest, and take time to build relationships, credibility, and trust.
  • Take ownership of tasks and complete them promptly, keeping customers up to date of progress and task completion.
  • Be a team player, being a role model for the core values and behaviours of the organisation.
  • Recognise the limits of your expertise and continue to develop your knowledge and skills.

The effectiveness of a PMO Administrator is often shaped by a set of key behaviours that go beyond technical skills. These behaviours are essential in navigating the dynamic and complex landscape of project management.

In embodying these key behaviours, a PMO Administrator not only contributes to the success of individual projects but also cultivates a positive and efficient project management culture within the organisation.
